What do I do if my GP has already send a referral?
Once your GP has sent the referral via email or fax, please allow us up to 4 weeks to respond to you via SMS. You are welcome to check on the progress by emailing us at admin@reflecthealth.com.au. Please do not call, as our phone lines can get very busy. To help us find your file quickly, please include your full name and date of birth in your email.
Do all clinicians require a referral?
Except for Couples Counselling and Family Counselling, all other clinicians require a GP referral. For couples and family counselling, we will need a self-referral via email explaining your reason for wanting the appointment, so the clinician can best prepare to help you., all other clinicians require a GP referral.
Why do we need a GP referral?
There are two main reasons we require a GP referral:
- Comprehensive Care: As a specialist clinic, the GP referral provides us with your essential medical and psychiatric history. It helps us build upon the mental health plan you and your GP have already designed. We will keep your GP informed and involved in your ongoing treatment and eventually discharge back to your GP.
- Medicare Rebate Eligibility: If you are seeking a Medicare rebate for your appointments, a valid GP referral is a necessary Medicare requirement.
Booking Appointments

Can I book an appointment with our clinicians?
Appointments can only be booked by patients whose referrals have been successfully allocated, who have completed their intake forms, and who have paid the required deposit. Generally, a GP referral is required for most of our clinicians. However, for Couples Counselling and Family Counselling, you can self-refer by emailing us your reason for seeking therapy. Please note that all referrals go through an allocation process, and not all clinicians are accepting new referrals at all times. We will match you with the best-suited, first available clinician, and you will always have the option to decline a match if it's not suitable for you.
Only applicable for current patients: Is there online booking available?
Yes, most clinicians offer online booking. However, some clinicians may not have this option available due to their books being closed. You can find out more by heading to our Online Booking page.
Only applicable for current patients: What if I am not able to book online?
If you are a current patient and unable to book online, please email admin@reflecthealth.com.au with the following details, and we will assist you in booking the best suitable time:
- Your full name
- Date of birth
- Mobile number
- The month you would like the appointment
Payments (Fees are below)

When and how are my payments processed?
Payments for your session will be charged to the credit card on file at the end of the day of your appointment. If this is an initial appointment, the deposit collected at the time of booking will be reduced from your invoice before the remaining fee is charged to your card.
What if I have 3rd party funding?
We are currently at capacity for 3rd party referrals funded by NDIS, TAC, Worksafe, and referrals that are undergoing court proceedings. We kindly ask that you inform us of such circumstances when submitting your referral. If this information is not disclosed upfront and a referral is initially accepted, we may unfortunately need to reject it later upon discovery.
For existing patients with 3rd party funding, we will require an approval letter with funding and payer details before your appointment date. We will then email the invoice as per the information provided in the letter.Â
Is there a payment processing fee for credit card payments?
Yes, the fee ranges between 0.75% - 1.80% based on the card.
How much is the initial deposit, and when will it be charged?
A $200 deposit is required at the initial booking for all appointment types. For cognitive and neuro assessments, 50% of the total fee is required.
Where do we store my payment info?
Personal details, including payment info, are stored in your patient profile on Halaxy.
How secure are my credit card details in Halaxy?

What if I do not have a credit card or choose not to provide one?
As our clinicians assist patients across Australia, a valid credit card or debit card is required to secure all payments for appointments.
Outstanding Invoice Policy

What if an invoice is not paid on the day of service?
SMS and email notifications will be sent for unpaid invoices on the day of service.
- Future appointments will be cancelled
- online booking will be disabled
- a late payment fee may apply

What if my account has had multiple occasions of late payments on invoices?
If your account has had multiple instances of late payments on invoices, we will require a deposit of the total fee for future bookings.
What happens if the amount on my account is not paid for an extended time?
If an invoice remains unpaid for an extended period, we will discharge care back to your GP.
Cancellation Policy

What is Reflect Health's cancellation policy?
Reflect Health has a 2-business day cancellation policy. If you cancel or reschedule your appointment with less than 2 business days' notice, a full fee will be charged. This policy is in place because the clinician has reserved this time specifically for you, and without sufficient notice, other patients needing a session are unable to access that valuable time slot.
Bulk Billing and Medicare

Is Reflect Health a bulk billing clinic?
No, Reflect Health is a private clinic and does not offer bulk billing.
Do all sessions avail a Medicare rebate?
No, not all sessions are eligible for a Medicare rebate.
- Couples Counselling and Family Counselling appointments do not currently attract a Medicare rebate.
- For individual Psychology appointments - a valid GP referral and a Mental Health Treatment Plan/Chronic Disease Management plan are required to be eligible for a Medicare rebate.
- For individual Psychiatry appointments - a valid GP referral is required to be eligible for a Medicare rebate.
- For Mental Health GP appointments - a Medicare rebate is available without a GP referral.
- For Nurse Practitioner appointments - a Medicare rebate is available without a GP referral.

Prescriptions

Can I request for prescriptions without an appointment?
No, all script requests require a follow-up appointment with the prescribing clinician. If we cannot secure an appointment before your current script runs out, we can make a future appointment and request the clinician to offer an interim script until the appointment day.Â
When should I book an appointment for my ongoing script renewals?
Our clinicians are often booked well in advance, so if you require ongoing scripts, please remember to book your next appointment at the end of every session. If you are not sure, please email the Care Team via admin@reflecthealth.com.au and they will confirm with your clinician.
Patient Obligations

What are my responsibilities regarding payments, appointments and treatment?
As a patient at Reflect Health, your responsibilities include:
- Payment: Ensuring a valid credit or debit card is on file for all sessions, with sufficient funds available.
- Appointment Management: Saving all appointments in your calendar to avoid missed sessions.
- Cancellations & Rescheduling: Communicating any need to cancel or reschedule your appointment with a minimum of 2 business days' advance notice to avoid a full fee charge.
- Ongoing Care: Booking future appointments at the end of each session if you require ongoing services or scripts, as clinicians are often booked in advance.
- Payment Issues: Understanding that any payment issues with outstanding invoices may result in future appointment cancellations and the disabling of online booking until the matter is resolved.
- Engagement in Treatment: Consistent engagement in treatment tasks is necessary for best outcomes. Frequent cancellations or no-shows may lead to discharge, and re-engagement will require placement on the waiting list.
- Telehealth Obligations: For telehealth sessions, ensuring you are in a quiet, private space with a reliable device and stable internet connection. Please inform your clinician if someone else will be present during the session, and avoid participating in sessions from public spaces or while under the influence of substances.
Commitment to Treatment

What is the commitment required for treatment?

How does Reflect Health handle my personal information?
We manage personal information in line with privacy laws, collecting only what is necessary for your care and storing it securely. Access is limited to authorized staff.
What other tools do Reflect Health use to handle my personal information?
Some of our clinicians use an AI scribe to help in the note taking so that they can be present with you rather than writing/typing notes. Telehealth Conditions

What are the requirements for telehealth sessions?
A quiet, private space with a device and stable internet are necessary. Inform the clinician if someone else will be present, and avoid public spaces or being under the influence during sessions.
Complaints

How can I submit a complaint?
You can submit a complaint by contacting us in writing at manager@reflecthealth.com.au. If your concern remains unresolved, you may escalate it to Dr. Antony. Further concerns can be directed to the privacy commissioner if you remain
